1. Service Description
Receipt Coding is a SaaS application that processes receipt and invoice images to extract and categorize financial data for bookkeeping purposes.
2. Data You Provide
You retain all ownership of receipts, invoices, and financial data you upload. You grant us the limited right to process this data solely to provide the service (OCR, AI categorization, GL coding, and export).
3. AI Processing
Receipt images are transmitted to third-party AI services (Anthropic Claude) for transient processing. Under our current configuration, images are not retained by the AI provider beyond the processing request. You must not upload receipts containing sensitive personal health information (PHI) or government identification numbers unless required for legitimate bookkeeping purposes.
4. Data Retention
Uploaded receipt images and extracted data are retained for the duration of your account. Exported data is retained for 30 days. You may request deletion of your data at any time by contacting support.
5. Security
We implement industry-standard security measures including encryption in transit (TLS), password hashing (Argon2), and optional two-factor authentication. You are responsible for maintaining the confidentiality of your login credentials.
6. Acceptable Use
You agree not to:
- Upload illegal, fraudulent, or knowingly inaccurate content
- Attempt to circumvent rate limits, authentication, or access controls
- Use the service to process data belonging to third parties without authorization
7. Limitation of Liability
This service is provided "as is" without warranty of any kind. We are not liable for financial losses resulting from coding errors, processing delays, or service interruptions. Always verify critical financial data before use.
8. Changes
We may update these terms at any time. Continued use after changes constitutes acceptance.
